Understand the supplier experience
A small supplier may not have a dedicated compliance team. If every department requests the same information separately, onboarding becomes slow and confusing. A single checklist with plain-language guidance can improve completion without relaxing the organisation's standards.
Collect information once
Start with the documents and fields that are genuinely necessary. Store them in a controlled record with appropriate access and retention rules. Where verification is required, show the status clearly so buyers and suppliers know what remains outstanding.
Make exceptions visible
Some suppliers will need additional review, and others may be missing documents temporarily. The system should distinguish between an incomplete application, a pending review and a rejected application. Clear reasons and responsible owners help prevent an informal email trail from becoming the real process.
Track the bottlenecks
Measure how long each stage takes, where applications stall and which requirements generate the most questions. Use that evidence to improve instructions and handoffs. Faster onboarding should be the result of better process design, not weaker checks.
